1. Overview

KhataIN (“we,” “our,” or “us”) is business software developed by Codexpal Technologies Private Limited. It provides billing, accounting, inventory, point of sale, tax records and related tools for businesses.

This Privacy Policy explains how we collect, store, use and protect information when you use business.khatain.com, the KhataIN web app at app.khatain.com, the KhataIN mobile app, and related services.

2. Information we collect

Depending on how you use KhataIN, we collect:

• Account information: name, email address, phone number, sign-in details and user permissions.
• Business information: company legal name, PAN or VAT number, business address, fiscal year and company profiles.
• Business records: transactions, invoices, bills, products and stock, purchase orders, customer and supplier records, and ledger balances.
• Technical data: the services that host and secure KhataIN, and the sign-in providers, may process data such as IP address, browser details, session times and security logs.
• Messages you send us: what you write when you email us or message us on WhatsApp.

3. business.khatain.com, cookies and analytics

business.khatain.com does not use analytics or advertising tools, and does not set cookies. It keeps one value in your browser's storage: the date you closed the “Still making paper bills?” message, so it does not show again for a week. You can clear it in your browser settings at any time.

The “Chat on WhatsApp” buttons open WhatsApp. What you send there is handled under WhatsApp's own terms and privacy policy.

The KhataIN app uses Google Analytics 4 on its sign-in and sign-up pages while you are signed out, to count visits and completed sign-ups, without your name, email, phone number or message. Pages inside the signed-in app are not measured. Google Analytics may set the cookies _ga and _ga_<container-id>, which Google documents as lasting up to two years. No advertising pixels are used, and Google Analytics advertising features are turned off.

4. How we use information

• To provide, run, maintain and improve KhataIN.
• To calculate balances and prepare your reports.
• To manage sign-in, session security and two-factor authentication.
• To answer your questions and provide support.
• To meet legal duties for keeping accounting and tax records.

5. When we share information

We do not sell your personal or business data. We share it only:

• With people you invite: team members, and accountants or firms you give access to your company.
• With service providers: hosting, email and SMS delivery, and payment providers, under confidentiality terms.
• With Google: usage data from the app's sign-in and sign-up pages, as described above.
• When the law requires it: for example a valid court order or a regulatory audit.

6. How long we keep data

KhataIN keeps accounting records, so posted transactions and ledger history are kept for as long as tax and audit law requires, unless the law requires us to delete them sooner.

7. Your choices and rights

You can see, export or ask us to correct the personal details on your account. Company administrators can export their company's records at any time.

8. Security

We protect data with encrypted connections (HTTPS), hashed passwords, two-factor authentication and an audit trail of actions in each company.

9. Children

KhataIN is made for businesses and adults. We do not knowingly collect personal data from anyone under 18.

10. Changes to this policy

We may update this policy as KhataIN or the law changes. We will show important changes on this site or tell you by email.
