Buy from suppliers and always know what you owe

Order, receive, get billed and pay as separate steps, each one reaching your stock and books when it happens.

How it works

From order to payment, one step at a time

Ordering, receiving, billing and paying are separate events, even on the same day. KhataIN keeps each one, so stock and what you owe always agree.

  1. Order

Send a purchase order to your supplier (Business Pro).

  2. Receive

Record what arrived. It reaches your stock.

  3. Get the bill

Record the supplier's bill with PAN and VAT, or scan it.

  4. Pay

Pay the bill when it is due, and the balance goes down.

What it changes for you

  • No double costs

The order, receipt, bill and payment are linked, so nothing is counted twice.

  • VAT you can claim

Bills with the supplier's PAN reach your VAT return on their own.

  • Pay on time

See every bill that is due, supplier by supplier.

What you can do

  • Supplier bills with PAN and VAT

Record each bill with the supplier's PAN and the VAT on it, ready for your VAT return.

  • Scan a bill

Photograph a supplier bill, and Smart Scan reads it into a draft for you to check.

  • Purchase orders

Order from a supplier, with approvals, quotes from vendors and requests for quotation.

  • Goods received

Receive stock against the order, and match the order, receipt and bill before you pay.

  • Returns and debit notes

Send goods back and reduce what you owe the supplier.

  • Supplier balances

See what you owe each supplier, bill by bill, and pay when it is due.

Supplier bills and payments are on every Business plan (Free allows 25 vendors). Purchase orders and goods received are in Business Pro.

Questions people ask

Do I need purchase orders?

Not for everyday buying. Record the supplier bill and its payment. Purchase orders, goods received and matching are for businesses that order first and receive later, and they are in Business Pro.

Does a bill add to my stock?

Yes. Goods on a bill or a goods receipt reach your stock, and the bill reaches what you owe and your books.

When should I use an expense instead?

Use an expense for spending with no supplier workflow, such as a small office purchase. Use Purchasing when you buy goods or services from a supplier.
