What Sales is for

Use Sales for named customers, quotations, orders, deliveries, invoices, credit and receipts. For fast walk-in sales, use the POS counter, which is part of Sales (Business Pro or the POS add-on).

What it records

What each sales document records

Document status determines the operational and financial effect. Review the customer activity timeline when the balance is unclear.

After a quotation
The proposal can be sent, accepted, rejected or converted; it does not itself represent completed revenue.
After an invoice
The invoice enters customer history and, when posted under the configured workflow, affects receivables, revenue, tax and inventory.
After a receipt
The payment moves into the selected financial account and reduces the amount due when correctly allocated.
After a credit note or return
The correction remains linked to the source invoice and updates the supported customer, tax, stock and accounting effects.
Watch out

Common sales mistakes

Check these points before finalizing or correcting a customer document.

  • Do not record invoiced sales again as Income

The invoice workflow already creates the supported accounting effect.

  • A quotation is not a completed sale

Convert or continue through the appropriate workflow before treating it as revenue.

  • Record the real payment

Do not change status to paid without recording where and when money was received.

  • Verify customer and tax details

Legal name, PAN/VAT, dates and tax treatment flow into customer documents and reports.

  • Correct from the source

Use linked credit-note, return or reversal behavior instead of unrelated manual records.

  • Review allocations

A receipt can exist without clearing the intended invoice when allocation is missing or incorrect.
